Hiring an offshore development team in Sri Lanka: a practical guide

Many companies in the UK, Europe, the Middle East, Australia and North America now run part of their software work from Sri Lanka. Done well, an offshore team adds steady capacity at a lower cost than hiring locally. Done badly, it adds delays and rework. This guide covers the decisions that make the difference.

1. Choose the right engagement model

Most offshore arrangements fall into one of three models. Pick the one that matches how well defined your work is.

  • Fixed-price project. Best when the scope is clear: a website, an app with agreed screens, a system migration. You agree deliverables, a price and milestones up front.
  • Dedicated team. One or more developers, designers or testers work only on your product, inside your tools and sprint rhythm, billed monthly. Best for ongoing product work where priorities change.
  • Time and materials. You pay for hours used. Useful for maintenance, support and discovery work where the size of the job is not known yet.

A common path is to start with a small fixed-price piece of work, then move to a dedicated team once you trust how the vendor works.

2. Plan around the time difference

Sri Lanka is on UTC+5:30 all year, with no daylight saving. Typical office hours of 8:00 to 17:00 in Colombo look like this elsewhere:

  • UK: 2:30 to 11:30 in winter, 3:30 to 12:30 in summer. That leaves a comfortable morning overlap for stand-ups and reviews.
  • UAE and the Gulf: Sri Lanka is only 1.5 hours ahead, so almost the whole working day overlaps.
  • Australia (Sydney): Sydney is 4.5 hours ahead (5.5 in its summer), so the Sri Lankan morning lines up with the Australian afternoon.
  • USA and Canada: overlap is small. Teams usually agree a short early-morning or late-evening call and hand work over in writing at the end of each day, so that progress is waiting for you when you start.

Agree a fixed daily overlap window in writing. Even one hour a day for questions removes most of the friction people associate with offshore work.

3. Ask the questions that reveal how a vendor really works

  • Who exactly will work on my project, and can I meet them before we start?
  • Who is my single point of contact, and how quickly do they reply?
  • How often will I see working software? Weekly demos are a good sign.
  • Where is the code kept, and will I have access to the repository from day one?
  • How do you test before you hand work over?
  • What happens if a team member leaves?
  • Can I see similar work you have built or run?

4. Get ownership and security right in the contract

Your agreement should state plainly that the source code, designs and documentation become yours on payment. It should also cover confidentiality (an NDA), who may access your systems and data, what happens to that access when the work ends, and how either side can end the contract. Check that you are contracting with a registered company, not an individual, and that invoices come from that company.

5. Make the first 30 days count

  1. Week 1: access to tools, repository and documentation; introductions; a written list of priorities.
  2. Week 2: a small, real task delivered end to end, so you can judge quality and communication early.
  3. Weeks 3–4: a normal sprint with a demo at the end, then an honest review of what to change.

6. Paying an overseas team

Most Sri Lankan IT companies invoice in US dollars, pounds, euros or Australian dollars and accept card payments, PayPal or international bank transfer. Agree the currency and payment schedule before work starts, and tie larger payments to delivered milestones.
